Position Purpose The Intermediate Salesforce Administrator will be a member of the Enterprise Application Services team, responsible for administering BrandEd’s Salesforce organization. This position can be either remote or based in the greater New York City area with occasional onsite work. Essential Duties and Responsibilities Specific duties and responsibilities include the following, but the individual will also be expected to perform all the necessary duties which are customarily performed by a person holding this position. Other duties may be assigned. The Salesforce Administrator will manage, configure, and optimize BrandEd’s Salesforce environment built on the Education Data Architecture (EDA). This role is responsible for ensuring the platform meets organizational needs and remains aligned with best practices for higher education CRM systems. The position requires a strong understanding of Salesforce administration, hands-on experience with EDA objects and relationships, and the ability to collaborate with diverse stakeholders, including marketing, admissions, finance, student services and other IT teams, to translate business requirements into effective Salesforce solutions. Key Responsibilities • Salesforce Administration • Manage and maintain Salesforce configurations and customizations, including (but not limited to) Salesforce objects, fields, record types, page layouts, Lightning apps, assignment rules, approval processes, dynamic layouts, actions, custom settings, mobile administration, dashboards, and reports. • Ensure proper mapping and relationships between EDA standard and custom objects. • Implement automation (Flow, Process Builder) to streamline workflows. • User and license management, including new user setup/deactivation, roles, profiles, permissions, public groups, organization-wide defaults, and sharing rules. • Identify and gather requirements, translate them into best practices and scalable solutions with a focus on exceptional user experience. • Proactive system maintenance, including security reviews, release updates, and health checks. • Sandbox environment management. • Collaborate with IT and vendors to integrate Salesforce with SIS, LMS, marketing automation, and other systems. 2. Data Management & Governance • Implement rules and automated processes to improve Salesforce data quality. • Maintain data quality by identifying and resolving duplicates, incomplete records, and inconsistent values. • Use Data Loader or similar tools to import/export student, alumni and program data. • Ensure compliance with data governance standards, and institutional security policies. 3. User Support & Enablement • Develop and deliver training sessions, user guides, and documentation to improve adoption and proficiency. • Gather feedback from end users to continuously improve the Salesforce experience. • Communicate platform changes to end users and stakeholders. 4. Reporting & Analytics • Build and maintain reports and dashboards to support institutional priorities based on requirements gathered from stakeholders. • Partner with other teams to ensure accurate reporting from Salesforce data. 5. Application Support • Build application forms in FormAssembly and connect to Salesforce based on technical requirements. • Diagnose and resolve application-related issues reported by users, opening and managing cases with vendor support teams when necessary. • Investigate system errors, performance issues, and unexpected behaviors. Qualifications, Knowledge and Abilities To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education, Work Experience and/or Licensure • Two to four (2–4) years of Salesforce administration experience. • Salesforce Administrator Certification. • Experience with declarative tools (Flow, Process Builder, Reports & Dashboards). • Salesforce Advanced Administrator Certification or Education Cloud Consultant certification preferred. • At least one (1) year working with Salesforce Education Data Architecture (EDA) preferred. • Experience with Salesforce Experience Cloud preferred. • Familiarity with marketing automation tools (e.g., Account Engagement/Pardot) preferred. • Experience with FormAssembly and Tableau a plus. • Four-year college Degree in Computer Science/Related field preferred or equivalent job experience • Must be legally authorized to work in the United States. Technical, Problem-Solving & Analytical Abilities • Demonstrated ability to translate technical information into plain languageand clearly explain design options and their potential impact. • Ability to diagnose and resolve technical issues quickly and efficiently. • Ability to analyze patterns in incidents and identify long-term fixes. • Knowledge of academic environments is strongly desired. • Support and embrace of diversity and inclusiveness. • Regular weekday (Monday-Friday) attendance/availability is required during core business hours. • Ability to manage multiple priorities and projects. • Ability to work independently and as part of a team.
