Your Impact in This Role: As our Executive Assistant, you'll be the operational powerhouse behind our CEO—the force multiplier that enables visionary leadership to translate into tangible results. You won't simply manage logistics; you'll serve as the strategic co-pilot who ensures that nothing falls through the cracks while our CEO focuses on creating transformative content, building industry-leading programs, and scaling our mission-driven organization. Here's what success looks like: Within your first 30 days, you've established yourself as indispensable. The CEO's inbox is managed with precision, the calendar reflects true priorities, communication loops are closed within 24 hours, and critical tasks are moving forward seamlessly. Trust has been built through your ability to see what needs to happen and execute it—without constant direction. By 90 days, you're operating as a true strategic partner. You anticipate needs before they're articulated, solve problems proactively, coordinate across team members (including our Chief of Staff), and ensure organizational priorities stay on track. You've become the linchpin between vision and execution. In this role, you will: • Manage executive communications across multiple platforms—triaging 50-100+ daily emails, drafting responses in the CEO's voice, closing open communication loops, and ensuring timely follow-through with stakeholders • Own calendar and time management—protecting strategic thinking time, optimizing meeting schedules, and ensuring the CEO's time aligns with organizational priorities • Coordinate cross-functional execution—working closely with our Chief of Staff and marketing coordinator to drive projects forward, track deliverables, and maintain accountability across team members • Provide meeting and project support—attending key meetings, capturing action items, updating project management systems, and ensuring follow-through on commitments • Execute high-volume administrative tasks—from travel logistics and billing to HR documentation and correspondence—with speed, accuracy, and attention to detail • Create and maintain systems—Update a variety of platforms and systems, develop and schedule communication, sales, and marketing emails, helping design workflows that increase efficiency, documenting processes, and proactively identifying opportunities to streamline operations • Represent the CEO professionally—Assisting in creating posts, communicating with warmth and professionalism on internal platforms (Mighty Networks), social media (LinkedIn), and in correspondence with clients, partners, and team members Beyond day-to-day execution, you'll be the person who thinks around corners—anticipating potential problems, flagging issues before they escalate, and ensuring the CEO can operate at their highest and best use. Your Strengths:You're a high-capacity executor who thrives in fast-paced, high-volume environments. You combine strategic thinking with meticulous execution, moving quickly without sacrificing quality. You're tech-savvy, proactive, and emotionally intelligent—someone who can manage sensitive communications with grace while driving results with confidence. The ideal candidate brings: • Proven EA experience supporting fast-moving executives in demanding environments (this is not an entry-level role) • Exceptional communication skills—both written and verbal—with the ability to represent executive leadership professionally and warmly • High-volume execution capability—comfortable managing 50+ tasks per week across multiple workstreams without feeling overwhelmed • Proactive problem-solving—you push through roadblocks, troubleshoot independently, and figure things out rather than waiting to be told what to do • Tech fluency—quick to learn new platforms (project management tools, CRMs, automation systems, Canva, ChatGPT) and comfortable troubleshooting technical issues • Emotional resilience—you welcome feedback as an opportunity to improve and don't take professional course-correction personally • Organizational mastery—you naturally create systems to manage competing priorities, track open loops, and ensure nothing slips through the cracks • Detail orientation with speed—you value getting high volumes of work done efficiently (volume over perfection, within reason) • Strong follow-through—when you commit to something, it gets done—and you proactively communicate status updates without being asked You'll excel in this role if: • You're energized (not drained) by high-paced, multi-faceted work • You're confident making decisions independently within established guidelines • You naturally anticipate needs and take initiative without prompting • You're comfortable being embedded in meetings and strategic discussions • You see yourself as a partner in execution, not just a task-taker • You want to be part of something meaningful and mission-driven What This Partnership Looks Like This is a true collaborative partnership built on trust, communication, and shared commitment to excellence. You'll have daily morning standups (8:30–9:00 AM MT) to align on priorities, attend key meetings to stay informed, and maintain frequent communication throughout the day via chat and email. Position Details Role Type: Independent Contractor (1099) with growth potential Hours: 20–30 hours per week, flexible Schedule: Monday–Friday, including daily morning standup (8:30-9:00 AM MT) and availability to attend 6-8 hours of meetings weekly during Mountain Time business hours. Communication and correspondence must occur during MT business hours (7:00 AM - 7:00 PM MT). Execution time outside of meetings and standups is flexible—we care about results and responsiveness, not when you're sitting at your desk.
