Job Overview The Retail Customer Service Representative II role at blithequark is a critical position that requires a unique blend of customer service, analytical, and organizational skills. As a key member of our customer-facing team, you will be responsible for managing order processing, ensuring accurate scheduling, and providing exceptional customer service to our clients. This role involves working in a hybrid model, with three days onsite and two days remote, allowing for a balance between collaboration with our team and the flexibility to work independently. Key Responsibilities Respond to customer inquiries and requests in a timely and professional manner, ensuring that all issues are resolved efficiently and effectively. Process complex orders and requests with 100% accuracy, from intake to filing, and ensure that all customer information is up-to-date and accurate. Update our customer management system to reflect changes, updates, and resolutions, ensuring that all data is current and reliable. Analyze customer order issues, diagnose problems, and implement solutions to ensure customer satisfaction and loyalty. Schedule appointments with homeowners, creating a seamless experience for our clients and ensuring that all necessary materials and information are prepared in advance. Prepare customer correspondence, packets, and other materials as required for the sales fulfillment process, ensuring that all communications are clear, concise, and professional. Handle permits and inspections, ensuring compliance with all regulatory requirements and internal processes. Identify areas for improvement and implement changes to enhance the overall level of service, contributing to our ongoing commitment to excellence. Communicate order fulfillment process information to internal delivery partners and provide customer feedback, ensuring that all stakeholders are informed and aligned. Administer programs, such as our customer referral program, to drive engagement and loyalty among our client base. Train others in office and customer service processes, sharing knowledge and expertise to promote a culture of excellence and continuous learning. Create purchase orders, process payments, or process receipts, as required, ensuring that all financial transactions are accurate and efficient. Requirements To be successful in this role, you will need to possess a combination of education, experience, and skills that demonstrate your ability to provide exceptional customer service and manage complex orders and requests. The following requirements are essential: High school diploma or equivalent, plus 2-4 years of work experience in order processing or a related field. Demonstrated proficiency in word processing, spreadsheet software, and general computer skills, with the ability to learn and adapt to new systems and technologies. Strong phone etiquette and verbal skills, with the ability to facilitate problem resolution and communicate effectively with customers and internal stakeholders. Intermediate writing skills, with the ability to prepare clear, concise, and professional correspondence and materials. Able to determine customer needs and assist in resolving issues for assigned areas, demonstrating a customer-centric approach and a commitment to excellence. Nice-to-Haves While not essential, the following skills and experiences are desirable and may be considered an asset in this role: Previous experience in a customer-facing role, with a proven track record of providing exceptional service and resolving complex issues. Knowledge of customer management systems and software applications, with the ability to learn and adapt to new technologies. Experience in a hybrid or remote work environment, with the ability to work independently and collaboratively as part of a team.
