Position Overview
We are seeking a highly organized, dependable, and communicative Transaction Coordinator to join our growing team. You will play a critical role in managing and coordinating the closing process for 5 to 15 real estate contracts per month. Your mission is to ensure transactions close smoothly and on time while delivering white-glove service to sellers—many of whom may be navigating complex or sensitive life situations.
This is a part-time position requiring a minimum of 30 hours per week, with flexibility in your schedule. Communication, empathy, and organization are key.
Key Responsibilities
• Coordinate all aspects of the transaction from executed contract to closing.
• Maintain proactive communication with sellers, title companies, buyers, and internal teams.
• Provide status updates and follow-ups across multiple transactions to ensure transparency and accuracy.
• Assist sellers with document collection, including payoff statements, lien releases, probate documents, etc.
• Manage and troubleshoot unique or emotionally charged situations with professionalism and empathy.
• Ensure all documents and disclosures are properly executed and submitted on time.
• Maintain organized transaction files and update CRM and tracking systems daily.
• Track critical deadlines (due diligence, inspections, closing dates) and ensure all parties remain on schedule.
Required Qualifications
• Minimum 2 years of experience in real estate transaction coordination or closing-related support role.
• Strong understanding of contracts, title/escrow processes, and document flow.
• Excellent written and verbal communication skills with a client-first mindset.
• Highly organized and detail-oriented, with the ability to juggle multiple deals at once.
• Proven ability to manage stressful or sensitive situations with professionalism and tact.
• Self-starter who thrives in a fast-paced, deadline-driven environment.
• Proficiency with tools like Google Workspace, CRMs (e.g. HubSpot), DocuSign, and Dropbox.
Preferred Qualifications
• Experience working in an investor-focused or wholesale real estate environment.
• Familiarity with seller-financing, probate, lien negotiation, or creative deal structures.
• Georgia real estate license (not required, but a plus).
