Operating within the non-profit education and social services sector, this remote role supports mission-driven programs by ensuring secure, accurate, and accessible recordkeeping across distributed teams. You will help maintain compliance, streamline archive workflows, and enable operational continuity for a geographically dispersed organization serving clients and stakeholders across the United States.
Primary Job Title: Records Management Coordinator
Role & Responsibilities
• Manage intake, classification, indexing, and secure storage of electronic and physical records to maintain accurate and auditable archives.
• Operate and optimize document management systems—uploading, tagging, versioning, and applying retention policies to incoming records.
• Perform document imaging, OCR quality checks, and metadata cleanup to ensure searchability and compliance with retention schedules.
• Support records requests, retrieval, and disposition processes; coordinate secure transfer or destruction of records per policy.
• Monitor and report on records inventory, access logs, and adherence to retention and privacy standards; escalate incidents and recommend remediation.
• Collaborate with operations, HR, finance, and program teams to standardize filing practices and deliver training on records procedures.

Additional Qualifications

• Familiarity with data privacy and records-related regulations (FERPA, GDPR, HIPAA) and applying retention/disposition rules.
• Strong attention to detail, analytical aptitude, and ability to work autonomously in a fully remote team.
• Ability to manage confidential information with discretion and follow secure file-handling procedures.
